Contract Co-ordinator

We are looking for a contract coordinator for a passive fire protection contract in Walsall.


Qualifications and Education Requirements

  • Suitable administrative qualifications

Preferred Skills

  • Knowledge of working in a construction environment, previous project support role held would be beneficial

Additional Notes

  • Will need to work on own initiative, well organised and be confident on the phone

Key Tasks

  • Plan works for operatives up to three months in advance including securing access to the properties for surveys and instillations
  • Monitor work progress by remaining in contact with operatives and ensure production is at required levels and resolve any issues
  • Communicate with client daily and answer all queries including technical issues by liaising with contract manager and surveyor
  • Ensure value for money with procurement of materials
  • Ensure deliveries are received and materials are correct and goods receipt them
  • Liaise with storeman to ensure materials are ready for upcoming works a minimum of 24hours in advance
  • Production of job sheets for all actions in good time
  • Attend contract meetings with contract manager
  • Present progress report at internal weekly meetings
  • Manage hire and distribution of plant
  • Collate drawings, asbestos details, and access details for surveyor daily and manage when surveys take place

Additional duties

  • Upload all actions onto work tracker (excel based)
  • Log all actions on FIRAS database
  • Upload drawings to bolster and manage access to drawings
  • Download all asbestos reports and save in electronic job files
  • Obtain all contact details and chase until completion
  • Complete purchase orders as instructed from contract manager or quantity surveyor
  • Attach robust details to job sheet as specified by the surveyor
  • Produce risk assessments and method statements to present to contract manager for approval
  • Control spending on each action to ensure profitability
  • Retrieve work details and photos from operatives, save them and flag any queries with contract manager
  • Cross-reference timesheets to trackers and present to contract manager for approval
  • Collate valuation data and submit with all required backup documentation
  • Responsible for all operatives signing and confirming understanding of rams
  • Forward tracker to the client and discuss weekly
